This was planned for but was not specifically addressed in the budget because it really is just the replacement of current budgeted on -going lease payments. Our current payments are $624.01 per month with the proposed replacement costing $747.69 per month on a 60 month lease, ($44,861.67 total, including tax). With this new machine we are significantly enhancing our mail services: • We are getting a model that will print the colored return addresses onto the envelope at the time the postage is applied. Conservatively, this we save us citywide approximately $8- 12,000 per year over ordering pre - printed envelopes. • We will be moving to the electronic version of the certified mail. (doing away with the add on green signature cards). This is a saving of $1.40 per mailing, again estimated at nearly $1000 per year savings citywide. • We will be able to take advantage of the least expensive rates by added a bar code on to every piece of mail at some unknown additional savings. This will take some minimal procedural changes such as all certified mail coming through the print shop, rather than going directly to the post office which I am lead to understand is the habit of both Police and Legal, but it is worth it for the savings the City will realize. Separately we will also be considering what to do with shipping of packages. While we still haven't worked out all the details it has the appearance that if we were to centralize that also through the print shop additional savings can be made.
